A proven track record of managing large-scale employee transfers 

Successfully managing large scale employee integration is one of Capita’s greatest strengths, giving our clients confidence when making the decision to transfer their employees into our organisation. Our experienced HR integration team has established detailed transfer procedures to ensure that the integration is successful.

The key to this is good communication. We consult with the potential transferees throughout the whole process, providing support and information and explaining the benefits of the transfer, as well as introducing them to our company culture and our values.

Case study: AXA

A recent example of a successful large scale transfer of employees was through our contract with AXA. In June 2009 1,150 employees transferred from AXA to Capita, across 3 of our sites. A further 550 employees joined Capita India in September 2009.

Having a communication plan is vital. A total of 49 Welcome sessions were delivered at the three sites, providing employees with an overview of our business, detailing the communications programme planned before the transfer date and giving employees the opportunity to ask questions about transition and transformation in an open forum. We also delivered presentations to specific departments within the business such as IT and Risk and Compliance, to address their specific requirements.

Further drop in sessions were held both on and off site, giving employees the opportunity to have an informal discussion with a member of the HR Integration team on any issues, concerns or questions they may have about transferring to Capita. Separate presentations were given to employees regarding their benefits and pensions, which is often a concern for employees transferring over. During the transition period we produced staff bulletins covering a variety of topics, frequently asked questions and useful contact numbers

The client and their 3rd party payroll provider were also involved in transferring the payroll. In support of this we also arranged for a payroll drop in session at each site on the day staff received their payslips so that they would have immediate access to a payroll expert should they have had any queries. The payroll transfer ran smoothly as a result of the joint approach to quality assurance and regular communication.

Throughout the whole process we worked with AXA, helping to facilitate a smooth transfer process, before handing over to the operations team.
